What you can do
- Sign in and land on Overview
- See upcoming and recent scheduled sessions with date and time.
- See a Documentation queue of completed sessions that still need a note summary or a reflection.
- Use the global Placement selector to scope Overview stats and lists to a specific placement.
- View quick Progress and Statistics snapshots for the selected placement.
- Manage Clients
- List all clients; Add new clients; Edit or Delete existing ones.
- Fields include alias, age range, gender, date of intake, presenting issue, referral source, client background, memory cues, and placement.
- If you don’t choose a placement on add, your current active placement is used.
- Manage Sessions
- List all sessions; open a session to view or edit details.
- Schedule new sessions from the Sessions tab or directly from a client row.
- Update status (e.g., Scheduled → Completed), reschedule date/time, and capture documentation:
- Note summary and Session reflection
- Type (Intervention, Assessment, Intake, Workshop), duration, supervisor (optional), venue
- Confidence rating, case complexity, learning focus, include-in-supervision flag
- Optional short plan/note for scheduled sessions
- Structured Case Notes and Meta
- Save structured notes using templates (e.g., Free Text, SOAP).
- Fetch or update a session’s note and meta fields (confidence, complexity, agenda, reflection).
- Download a formatted PDF of the saved case note.
- Supervision
- Record supervision sessions with date, type (individual/group/mixed), durations (total/individual/group), session #, and notes:
- Discussion theme, case summary, and process comments
- View, update, and delete supervision entries; filter by a date window and placement.
- Supplemental Activities (Logs)
- Batch entry tool to add multiple supplemental activities in one go.
- Each row supports: date, duration (minutes or H:MM), type/category (Assessment, Intervention, Supervision, Professional Development, Report/Admin, Intake, Workshop), optional alias, and description.
- Review recent entries, refresh by date, and edit or delete saved rows.
- Upload a CSV of supplemental activities per placement; download a template and codebook.
- Daily Reflections (Manual, optional)
- Record a brief daily reflection for a placement and date.
- Reflections appear in the Clinical Logbook; you can list, update, or delete them.
- Reports
- Clinical Logbook (HTML): a printable daily log with documentation and weekly reflection sections; also embeddable inline in the app.
- Summary Report (text): concise totals and breakdowns across sessions, supervision, and recent activity.
- Data Export (CSV): raw client, session, and supervision data for spreadsheets.
- Supervision Report (HTML): formatted, printable supervision records (two per page).
- Combined Hours (JSON/Text): totals across all placements and for a specific placement.
- Reports honor the selected placement and include persisted supplemental activities where applicable.
- Placements and Supervisors
- List and create placements; fetch a placement’s details (including supervisor).
- List and create supervisors for quick selection in forms.
- ROM (Routine Outcome Measures)
- Add ROM scores for a client and retrieve available ROM tools.
- Fetch a client’s ROM score history.
- User Preferences
- Store defaults (e.g., preferred placement and supervisor) to streamline data entry.
- Security and Access
- JWT-based authentication with session-aware UI.
- CORS and preflight handling for browser clients.
- Logout from the top navigation.
How data is linked
- Clients belong to a placement (placement_id).
- Sessions belong to a client; stats and progress for a placement are computed by joining sessions through the client’s placement.
- Supervision sessions are linked directly to a placement.
- Daily reflections are stored per placement and day and feed into the Logbook.
Typical daily workflow
- Check Overview to see upcoming sessions and items awaiting documentation.
- Mark completed sessions and add note summaries/reflections.
- Schedule new sessions from the client list or Sessions tab.
- Review Progress/Statistics for the current placement.
- Log supplemental activities (Other Activities tab) and supervision as needed.
- Add daily reflections to enrich weekly summaries.
- Generate reports for your logs, summaries, exports, supervision records, or combined hours.
Use this form to add multiple supplemental activities at once. Duration can be minutes (e.g., 60) or H:MM (e.g., 1:30).
