About
InsightTrack helps you manage placements, clients, clinical sessions, additional training entries, documentation, and reports in one place.
Select a placement from the top navigation first. The selected placement controls the information shown across Overview, Additional Entries, reports, and training progress.
What you can do
Sign in and land on Overview
See upcoming and recent scheduled sessions with date and time.
See a Documentation queue of completed sessions that still need a note summary or a reflection.
Use the global Placement selector to scope Overview stats and lists to a specific placement.
View quick Progress and Statistics snapshots for the selected placement.
Manage Clients
List all clients; Add new clients; Edit or Delete existing ones.
Fields include alias, age range, gender, date of intake, presenting issue, referral source, client background, memory cues, and placement.
If you don’t choose a placement on add, your current active placement is used.
Open a client to review their timeline, background, session history, and outcome-measure history.
Create and save discharge documentation, and generate a therapy summary when AI features are enabled for the account.
Manage Sessions
List all sessions; open a session to view or edit details.
Schedule new sessions from Add Session or directly from a client row.
Update status (e.g., Scheduled → Completed), reschedule date/time, and capture documentation:
Note summary and Session reflection
Type (Intervention, Assessment, Intake, Workshop), duration, supervisor (optional), venue
Confidence rating, case complexity, learning focus, include-in-supervision flag
Optional short plan/note for scheduled sessions
Structured Case Notes and Meta
Save structured notes using templates (e.g., Free Text, SOAP).
Fetch or update a session’s note and meta fields (confidence, complexity, agenda, reflection).
Download a formatted PDF of the saved case note.
Additional Entries
Use Add activity, Add supervision, or Add daily reflection to open the appropriate modal form.
The activity modal supports batch entry, allowing several activities to be submitted together.
Activities record date and time, duration, category, optional alias, and description. Categories include Assessment, Intervention, Professional Development, and Report/Admin.
Supervision entries include supervisor, date and time, individual/group/mixed type, individual and group minutes, session number, discussion theme, case summary, and process reflection.
Daily reflections are optional notes stored against a placement and date and included in the Clinical Logbook.
Saved entries are grouped beneath each date. Use the buttons at the end of a row to edit or delete an entry.
Jump to date shows one specific day. Dates shown can display the recent 60 days, all dates, or a custom date range.
Filter by all entries, supervision, reflections, all activities, or a specific activity category.
Reports
Clinical Logbook: view a comprehensive daily log with documentation, additional entries, reflections, and weekly summaries.
Summary Report: download a text overview with totals and progress tracking.
Data Export: download raw client and session data as CSV for spreadsheets or analysis.
Supervision Report: download formatted supervision records as a Word document.
Combined Hours: view totals across all placements.
Reports honor the selected placement and include persisted supplemental activities where applicable.
Training setup
Open the gear menu to add or update placements, dates, institutions, required-hour targets, and placement notes.
Add, update, or remove supervisors and associate them with placements.
Store preferred placement and supervisor defaults to streamline data entry.
ROM (Routine Outcome Measures)
Add ROM scores for a client and retrieve available ROM tools.
Fetch a client’s ROM score history.
Security and Access
Sign in to access your account and use Logout from the top navigation when finished.
Only data associated with your authenticated account is available in the app.
How data is linked
Clients belong to a placement, and clinical sessions belong to a client.
Activities, supervision sessions, and daily reflections belong directly to the selected placement.
Overview totals, progress, Additional Entries, and most reports follow the placement selected in the top navigation.
The Clinical Logbook combines client sessions with the relevant additional entries and reflections; the Additional Entries tab does not replace the full logbook.
Typical daily workflow
Check Overview to see upcoming sessions and items awaiting documentation.
Add or schedule a session, then update its status and documentation when completed.
Use Additional Entries to record activities, supervision, and an optional daily reflection.
Review entries by date, date range, or category and edit or delete rows when needed.
Review progress for the selected placement.
Generate the Clinical Logbook, summary, supervision report, data export, or combined-hours view as required.
